1. Who we are

Stage.OS (“we”, “us”) provides production-management software for live-sound professionals, including the Stage.Crew app and other apps and tools in the Stage.OS suite. These terms form a binding agreement between you and Stage.OS.

2. The service

The Stage.OS suite includes a native Mac application, a freelancer web portal, and built-in tools. We may add, change or remove features over time, and some apps are released progressively as described on our website.

3. Accounts & eligibility

You must be at least 18 and able to enter into a contract. You are responsible for your credentials and all activity under your account. Tiers: Tier 1 (Leads) paid accounts that run productions; Tier 2 (Freelancers) free accounts for crew; Tier 3 (Flexible) custom access for creatives and integrators.

4. Bookings between leads and freelancers

Stage.OS is a tool to help leads and freelancers organise work. We are not an employer, employment agency or party to any engagement arranged through the service. Any booking, fee or working relationship is solely between the lead and the freelancer, who remain responsible for their own tax, insurance and legal obligations.

5. Subscriptions, trials & billing

• Leads are billed £39.99/month or £399.90/year; prices may change with notice.
• Paid plans include a 14-day free trial; no card is required to start it.
• Freelancer accounts are free.
• Subscriptions renew automatically until cancelled; you can cancel any time, effective at the end of the current period.
• Payments are handled by a third-party processor and subject to their terms. Except where required by law, payments are non-refundable.

6. Acceptable use

You agree not to break the law, infringe others’ rights, access data that isn’t yours, reverse-engineer or resell the service except as permitted, upload malicious code, or interfere with the service’s operation or security.

7. Your content & data

You own the production, crew and other data you put into Stage.OS, and grant us the limited rights needed to host, process and display it to operate the service for you and those you share a production with. You’re responsible for having the right to share any personal data you enter.

8. Intellectual property

The Stage.OS software, branding and content are owned by us and protected by law. We grant you a limited, non-exclusive, non-transferable licence to use the service under these terms.

9. Availability, disclaimers & liability

We aim to keep the service available but don’t guarantee uninterrupted access, and provide it “as is”. To the extent permitted by law we exclude implied warranties and are not liable for indirect or consequential loss; nothing limits liability that cannot be limited by law. Subject to that, our total liability is limited to the amount you paid us in the 12 months before the claim.

10. Termination, changes & governing law

You may close your account at any time; we may suspend or terminate access for breach or to protect the service. We may update these terms and will notify you of material changes. These terms are governed by the laws of England and Wales, subject to the exclusive jurisdiction of its courts.

1. Who is responsible

2. What we collect

• Account information — name, email, password, tier and company/role.
• Freelancer profile & availability — what freelancers choose to share with leads.
• Production & crew data — productions, shows, rosters, bookings and crew details.
• Billing — handled by our payment processor; we receive limited details (e.g. subscription status, last four digits) and do not store full card numbers.
• Usage & device data — basic information to keep the service working and secure.

3. How we use it & lawful bases

To provide and operate the suite, manage accounts and billing, communicate about the service, improve and secure it, and meet legal obligations. Our lawful bases under UK GDPR are contract, legitimate interests, consent (for optional marketing — you can withdraw it), and legal obligation.

4. When we share data

Within a production (relevant details are visible to the lead and others on that production); with trusted service providers such as our payment processor and hosting provider under appropriate agreements; and where required by law. We do not sell your personal data.

5. Retention

We keep personal data while your account is active and as needed to provide the service, then for a reasonable period to meet legal, accounting or dispute-resolution needs, after which we delete or anonymise it.

6. Your rights

You can access, correct, delete, restrict or object to processing, request portability, and withdraw consent — email privacy@stageos.uk. You may also complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk.

7. Cookies, transfers & security

Our website uses minimal local storage (e.g. to remember you’ve seen the intro) and no advertising cookies; the app and portal use essential cookies/local storage to keep you signed in. Where data is processed outside the UK we rely on appropriate safeguards, and we use reasonable measures to keep your data secure. Stage.OS is intended for professional use by adults.

8. On your computer

While you’re signed in, the Stage.OS desktop app keeps an encrypted offline copy of your account’s work on that computer, so it keeps working without a signal. The key to that copy is protected by the computer’s own key store (the Keychain on a Mac); if the key store can’t be used, no copy is kept. Signing out removes the copy, its key, anything waiting to upload and your session — the app tells you first if something hasn’t uploaded. If you close the app without signing out you stay signed in, so always sign out on a shared computer.

Prep Share. A lead can show read-only copies of racks, specs and I/O sheets to people on the same local network, from a PIN-protected page served by their own computer. That content doesn’t pass through our servers, can include personal data in those documents (such as names and notes), and travels over the local network unencrypted, so use it on networks you trust. I/O passwords are hidden. Sharing stops when the lead stops it, signs out or quits the app.
